How to configure notifications to indicate Placeholders that are not uploaded with files after a certain number of days?
To configure notifications regarding Placeholders that are not filled with source documents after a particular number of days, there are various approaches. Depending on the security of the information:
Flash Reports sends an email with the information regarding the flash report. It can be configured with multiple filters and grouping. The flash report can be general or individual:
- General Flash report: Include all the users. The grouping is done with Created by. It needs little maintenance, but all the users set as Editors or Viewers receive the flash report email and see all the information.
- Individual report: Flash report by user. The Created by filter is added and set for every user. It is only shared with relevant users, which increases security, but needs more maintenance since multiple reports are needed.
Create a report with the following filter: Size > Is blank to find the Placeholders, the documents without source file. For the report to return the Placeholders that have been created after a certain number of days, add the filter Create Date > In the last > X > days.
NOTE: Flash Reports can be configured to NOT send the report if there are no results.
