How to add participants in an active workflow in Vault PromoMats and Medical?

Answer:

Add Participants: This action is available for all workflows where a role has current tasks, future tasks, or future notifications. This action only applies to roles configured to accept multiple users.

When adding participants, additional users can be selected to assign to roles in the workflow. Adding users to roles for an optional task allows the task to be required. Vault enforces allowed users for roles when adding participants.

You can add additional participants to an active workflow by going through the Show Active Workflow button or the Timeline View.

To add additional participants through the Show Active Workflow button, please see the instructions below:

1. Open the appropriate document.
2. Select the Show Active Workflow arrow to the left of the document status.
   
   
3. Select the Action menu on the upper-right side of the window.
4. Select Add Participants.
   
   
   
   
5. Type in the appropriate name to select.
6. Press Submit to add the participant to the active workflow.
   
    

To add additional participants through the Timeline View, please see the instructions below:

1. Open the appropriate document.
2. Click on the Timeline View on the right side of the document panel
   
   
   
3. Next to the active Legacy Workflow, click the Actions menu and select Add Participants
   
   
   
   
4. Type in the name of the user(s) you wish to add to the task
   
   
   
   
5. After the user(s) have been added, press Submit to add the participant to the active workflow.
   
   
   

The user(s) will then appear in Timeline View and a notification will be sent to them informing them of the new task
