Question:
What is the purpose of and difference between the Offline Content Preview functionality and the Classic Documents Tab on specific Veeva CRM Offline Platforms?
This article provides a summary of these two functionalities and their expected behavior on the following Veeva CRM Offline platforms: CRM for iPad (iRep) and CRM for Windows.
In Salesforce Lightning, Documents are uploaded as Salesforce Files. See Using Salesforce Files for more information.
Answer:
The purpose of the Offline Content Preview functionality is to display Related Piece documents associated with Approved Documents in Vault. Only Related Piece documents can be made available. Offline Platform support involves CRM for iPad currently.
The purpose of the Classic Documents Tab is to show records from the Document and Folder objects as well as the Approved Documents satisfying the required configuration/criteria of the Offline Content Preview functionality. CRM for Windows currently supports displaying the records from the Document and Folder objects only.
In case, there are Approved Documents satisfying the required configuration/criteria of the Offline Content Preview functionality. However, there are no accessible Document and Folder records. The label text of the Documents tab is Approved Documents.
The scenarios are as follows in detail:
Scenario #1:
In the event, there are no Approved Documents satisfying the configuration or criteria requirements of the Offline Content Preview functionality. However, there are accessible records from the Document and Folder objects. The Documents Tab is present on CRM for iPad and/or CRM for Windows. In this case, the accessible Document records and their Folders are available in the tab.
Scenario #2:
In the event, there are Approved Documents satisfying the configuration or criteria requirements of the Offline Content Preview functionality. But, there are no Document and Folder records accessible from the Document object. The Approved Documents tab displays on CRM for iPad. The Approved Documents tab contains the out-of-the-box folder named My Approved Documents and the Approved Documents themselves. The change of the label text is the expected behavior in this scenario.
Scenario #3:
In the event, there are Approved Documents satisfying the configuration or criteria requirements of the Offline Content Preview functionality. There are Document and Folder records accessible from the Document and Folder objects. The Documents tab displays on CRM for iPad containing the referenced documents associated with the Approved Documents as well as the Document records in their respective Folders. CRM for Windows only displays the Documents tab containing the accessible Document records and their Folders.
The screenshots display Scenario #3 the way Approved Documents, Documents, and Folders are organized.

Notes:
- In the event, the Classic Documents Tab is required to be implemented, the VMobile Object Configuration record of the Document and Folder objects must be set up, and activated for CRM for Windows and/or CRM for iPad. The end-user needs access to these objects, the related fields, and the records themselves. Both of these VMOCs have their respective OOTB Where clauses. The Document and Folder records have to meet the Where clause of the VMOCs. The most common choice from the Documents VMOC Where Clause is the "offline" Keyword. Be sure to populate the Keywords field on the document with the value of "offline" (Without double quotes).
- Approved Email must be configured next to the Offline Content Preview functionality in the event these functionalities need to be implemented.
- The referenced Piece document must be in a Steady state which is the Approved state.
- The referenced document must have the type of Promotional Piece in Vault.
- The Offline Content Preview functionality criteria or configuration requirements can be viewed in the following article: Why is the Email Template Not Shown in the CRM iRep Document Tab?
- It is not possible to change the Display Order of these Folders (My Personal Documents, My Approved Documents etc.). The order is hardcoded.
- CRM for Windows can display all types of referenced documents in the Send Email Preview page. The list of these tokens is available in Previewing Approved Email Content.
- In Salesforce Lightning, Documents are uploaded as Salesforce Files. See Using Salesforce Files for more information.
- The presented data is not customer specific, all names are fictive and test data.
