Question:
The user noticed that when starting a review workflow on a document or multiple documents if cancel all the task(s) instead of canceling the workflow, the workflow still ends as if canceling the workflow, but the document remains in the "In Review" state.
Answer:
Canceling all the tasks in the last task step is different from canceling the workflow in One workflow. When the user does workflow cancelation, Vault has the Workflow Canceled State setting based on the state the document(s) are in, and it takes the user to that state based on the Workflow Cancelled State setting.
But canceling all tasks moves the workflow forward and completes it and that is why the user sees in the timeline view on the left as "Completed" instead of "Canceled". If the user really wants to make sure that when all task canceling should take the user to the same state as workflow cancelation, the Admin should consider the Task Cancellation case in the condition If none of the conditions above are met to decide which step a record proceeds to change back to the initial state so that users can start the workflow again. The workflow still is marked Completed and not Canceled.
