What are the Workflows task options in Vault PromoMats and Vault Medical?

Answer:

If the participation rule is set as Allow workflow initiator to select participants in the start step of the affected workflow, the Workflow Initiators are able to manually select participants.

The following options are available:

  • Assign to all users in participant group: This option creates multiple parallel tasks if there are multiple users in the participation.
    All the task owners assigned to a task are required to complete the task.
    This option shows as Available to every user from the dialogue box.

  • Make available to users in participant group: This option creates a single task that is not assigned to a user.
    Any user in the participant group can claim the task and accept it. Once accepted, the task becomes unavailable to the other users assigned to it. 
    This option shows as Available to any user from the dialogue box.

If the participation rule is set as Use role as participants in the start step of the affected workflow, the participants are automatically selected based on the role in the document Sharing Settings.

Once this option is enabled, the task is not visible in the dialogue box.

Once the workflow is started, the task is assigned to any user matching the participation rule from the Sharing Settings.

Any user in the participant group can claim the task and accept it. Once accepted, the task becomes unavailable to the other users assigned to it.
