Assigning the HTML Report for more than one user profile

Hi team,

We have created a MyInsight Report “Test Me” and we need to share with 20 different User profiles and not across all existing Profile. We would approximately have 50 different profiles.

Current Scenario:

We have to create 20 different HTML Report and upload that same code of “Test Me” and assign to each profile separately.  We have learned from the Veeva support that this is the only way we can do it.

Expected Result: It would be nice if we can have only one HTML Report, where we can upload that MyInsight code and assign it to more than one different Profiles. This would actually increase our work efficiency, by helping us to maintain the code in one place and do not have duplicate code.

Let me know your views on adding this as an enhancement in the near future.

    Hi Anuja,

    If for example you have multiple Commercial Rep profiles, you can have a Public Group that contains all of these users (named "All Reps" for example). Then you just need to set HTML Report Object org wide visibility to private, and create a criteria based sharing rule based on sharing group field value (see below)

    In this case, if an the admin creates an HTML Report record with "REP" in the sharing group Field, it will be only visible to "All Reps" Public Group

    Hi Anuja,

    Thanks for posting on the community For more advance sharing scenarios of HTML reports, you can use the Sharing_Group_vod field to drive the visibility of records with criteria-based Sharing Rules.

    Would this approach solve your MyInsight visibility problem?

    Thanks a lot for the reply! We have never tried this out, looking forward to try this way out.

    Can you please guide us on how to use the Sharing_Group_vod field for our HTML reports?

    Or can you share any documentation in CRM help or anything so that we can follow it to achieve that?

    Hi Zied,

    Below configuration has been done, which is as follows: 

    • HTML Report Object org wide visibility set to private,
    • Created a criteria-based sharing rule based on sharing group field value
    • HTML Report record is set to "REP" in the sharing group Field.

    We are stuck in configuring the below point:

    • While creating the Public Group, we are not able to get the list of available profile, below is the screenshot of all the available groups we can select. Can you guide us on how we can assign it to profiles?
