Question:
How to edit links in a Link Annotation?
Answer:
Annotate and Edit Relationships permissions are needed.
When the version of a document linked as reference into another document gets Expired/Cancelled/Withdrawn/Superseded, the user may need to update the outdated referenced version with the latest version of the same document or with a different reference document.
The following can only be performed by the author of the annotation, unless permission to the Owner was enabled by the Company.
- In the referenced document, find the annotation with the link to the referencing document (and its anchors, if applicable). The menu appears, click and select Edit Links.
- The pop up box shows only the latest versions of all documents. Find the current referencing document.
Note: The Search bar can help locate a document. Enter a key word or the document number.
- If updating the outdated version with a new version of the same document, click the green plus (+) shown next to the anchors needed.
- If updating the outdated document with a different document, click the red minus (-) next to the current anchors to unselect them. Then, find the correct document and click the green plus (+) shown next to the anchors needed.
3. Click Close.
4. The link annotations are now updated. The Linked Documents section shows the newly linked reference document with its anchors and the outdated one.
Optional: Hover over the outdated reference document to see a black X, click to remove it with all its anchors.
