FAQs: Engage Connect Functionality and Best Practices in Veeva CRM.
Connecting With and Inviting Others in Engage Connect
CRM Users (Reps) can invite HCPs to connect with them using the Connect Tab in Engage Connect.
HCPs can invite their coworkers or peers to join Veeva Engage from the Me Tab.
Can HCPs use the Invite function to reach out to CRM Users (Reps) directly?
No. HCPs can invite other medical professionals – their coworkers or peers – to join Connect, but they cannot reach out to Reps that they are not already connected to. The expectation is that Reps will reach out to HCPs to connect with them. For more information, see: Using the Me Tab as an HCP - Inviting Coworkers
Can HCPs use the Share Contacts function on the Chat Tab to share Contacts of their Coworkers with Reps?
The Share Contacts function does not exist for HCPs at this time, only for CRM users.
CRM users use the Share Contacts function on the Chat Tab to share other CRM users' information with HCPs. In this way, they can connect HCPs with other Reps in their company.
Per our documentation on Using the Chat Tab as an HCP, HCPs can receive contacts or approved content shared with them by CRM users via the Chat Tab. The ability for HCPs to Share Contacts within Engage Connect is on the product roadmap, however.
In the meantime, an HCP can chat with a CRM user they are connected to, and provide their coworker’s email address to the CRM User. The CRM User can then invite the other HCP to connect with them. Reps can also connect with HCPs and invite them to Engage Connect by copying their personal invite link using the Share Link function on the Connect Tab, then sending it outside of Engage Connect.
Can Reps Share Contacts of HCPs With Other Reps?
The Share Contact function allows Reps to share Contacts of other Reps with HCPs.
It does not currently allow Reps to share Contacts of HCPs with other Reps.
Can HCPs Invite other HCPs outside their practice or only their ‘coworkers’ in their same company?
There are no limitations on HCPs inviting and connecting with other HCPs in Veeva Connect in the Production environment of Engage Connect. (There are limitations around Test HCPs, as explained in Engage Connect FAQ: Engage Connect Platforms and Configuration.)
Veeva wants to grow the HCP network in Connect. While we believe the most value will come from HCPs inviting their own coworkers, as the communication and coordination with Pharma happens within an office, there is nothing that would prevent HCPs from inviting other HCPs from outside their company, office, or practice to connect with them through Veeva Connect.
Can Reps connect with HCPs outside of their Territory?
There are no restrictions on Reps inviting HCPs to connect in the Production environment of Engage Connect. (There are limitations around Test HCPs, as explained in Engage Connect FAQ: Engage Connect Platforms and Configuration.)
Any HCP from any company or practice who taps/clicks on a Rep's personal invite link can be connected to the Rep, and Reps can enter any HCP's email to send an in-app invite. There are no restrictions limiting Reps to connecting with HCPs only from a specific company or territory. However, CRM Users cannot connect with CRM Users from other companies.
Can the Email Sent to HCPs when Inviting them to Connect be customized?
No, the email sent for in-app invites to HCPs cannot be customized. This email is meant to look like a simple system alert/message coming from Engage. The email is meant to be similar to the experience being invited to connect on other large professional networking services or websites -- the email comes from that website or networking service and has its branding.
But CRM Users/Reps also have the ability to share their personal invite link (using the Share Link function on the Connect Tab) via a 3rd party communication system (their company's email, text message, etc.). Companies can also create their own branded Approved Email invitations for Reps to send and invite HCPs to join and connect on Engage.
