Which tasks display on the My Tasks homepage component in CRM online?
Answer:
The behavior differs between Salesforce Classic and the Lightning Experience.
In Salesforce Classic:
Only tasks that are assigned to the logged-in user display on the My Tasks homepage component in CRM online. This view is limited to five tasks, sorted by the due date, and is filterable using a dropdown menu by the following criteria:
- Overdue
- Today
- Today + Overdue
- Tomorrow
- Next 7 Days
- Next 7 Days + Overdue
- This Month
- All Open
If the logged-in user is assigned more than five tasks, only the first five tasks with the closest due date will display. The full task list can be accessed by the following actions:
- Clicking the Activity List View button underneath the Calendar component on the homepage;
- Entering the following in the URL bar: https://XXyourorgdomainhereXX.salesforce.com/00T
From the full task list, users are able to view all tasks that are assigned to them, as well as tasks assigned to people below them in the role hierarchy. If the logged-in user reassigns a task to another user and that user is below them on the role hierarchy, that task is also visible using the delegated view from the full task list.
If a desired view is not currently available, additional views using custom filters can be created from the full task list using the Create New View button.
In Lightning Experience:
Similar to the Classic experience, the Tasks homepage component is also limited to five tasks, sorted by the due date, and is filterable using a dropdown menu by the following criteria:
- Today
- My Tasks
- All Overdue
- Completed Within Last 7 Days
- Delegated Tasks
In addition to tasks assigned to the logged-in user, delegated tasks are also visible in the Tasks homepage component using the Delegated Tasks view.
The full task list is accessible using the the View All button on the Tasks homepage component or through the Tasks tab. To navigate to the Tasks tab:
- Click on the App Launcher menu.
- Search using the word tasks in the search box.
- Select Tasks.
The full task list in the Lightning Experience is filterable. What is visible to the user upon navigating to the full task list depends on what view or filters are applied.
The same logic regarding role hierarchy in Salesforce Classic applies to the Lightning Experience. Tasks assigned to other users are only visible if the assigned user's role falls beneath the logged-in user's role in the role hierarchy and the current view is filtered by All tasks.
